We use our expertise in all stages of the event planning and operate from the research and selection of the venue, the budget and logistical analysis to the elaboration of the schedule of activities and meetings. With over 20 years of experience, we have the industry's best suppliers in our portfolio and conduct the selection, hiring and management of those professionals.
We plan and monitor the infrastructure of the whole event. Some of the steps involved are the assembling of stages, auditoriums, stands and structures for exhibiting posters; the management of suppliers of audiovisual equipment, computers and simultaneous interpretation; ambient decoration; printing of badges and control by barcode scanning and supervision of the dismantling of the event.
Eventus caters for every demand. We plan and organize accommodation; manage flight and hotel bookings and organize transfers as well as Meet and Greet services for speakers, special guests and participants. We also conduct procedures for visa obtainment and other documents for international visitors and coordinate professionals such as receptionists, security guards, interpreters and translators.
Our exclusive online system for managing registrations enables the participants to enrol and submit papers and abstracts directly through this platform. The whole evaluation process also uses this system, which can be customized according the requirements of each event. CiEventus also allows the online submission of acceptance letters and reviewers’ feedback; databank access and monitoring in real time; automatic generation of archives, receipts and certificates. The advanced safety system includes backups in two servers abroad.
Eventus manages the teams responsible for the visual identity and logo of the events, the design of the conference pack, communication and custom freebies. Additionally, we manage the development and hosting of the event’s website, with responsive features that allow its visualization on all digital media (computers, tablets and mobile phones). The organizers can also opt for an exclusive app with customized features to best suit each event.
PROMOTION AND CUSTOMER SERVICE
To broadly promote the event, we create e-marketing campaigns, which include e-mails for participant orientation in Portuguese, English and Spanish. Our e-marketing campaigns are sent via Mailchimp, a market leader company. The newsletters are prepared in order to be easily shared on the event’s Facebook page and in other social media networks. Regarding customer service, besides conventional platforms, we offer a live chat service on Eventus’ website; ready to answer participants questions and requests.
Activities which encourage socialising are essential for an event. We organize and manage food and beverage services such as welcome coffees, snacks, lunches and coffee breaks. We also plan cocktails and celebratory events; gala dinners and other get-together ceremonies.
SPONSORSHIP AND FUNDRAISING
We provide support in the preparation of the event’s commercial project and assist in steps such as contact with potential sponsors; requests for assistance by state and federal funding agencies (CAPES, FAPs, CNPq); sale of sponsorship quotas, exhibition stands and advertising space; contract preparation and monitoring of contract performance.
The post-event services include the preparation of financial reports and assistance with the organization of accountability documents to the sponsors and funding agencies. Our system also provides the database and statistics of the event to the organizers, in addition to the electronic submission of letters of appreciation.
